Conditions of Use: SHPO Records
Welcome to the State Historic Preservation Office (SHPO. Access to our records is governed by the terms below. All users must meet eligibility requirements and agree to the following conditions prior to conducting research.
- Eligibility
You must qualify under one of the following categories to access SHPO research materials:
- A local, state, regional, or federal agency engaged in historic preservation under the National Historic Preservation Act of 1966 (as amended) and other applicable laws.
- A private entity conducting preservation-related work in compliance with local, state, or federal laws.
- An academic researcher affiliated with an accredited educational or research institution.
- Use of Sensitive Information
Under Section 304 of the National Historic Preservation Act, SHPO may withhold sensitive information that could:
- Infringe on personal privacy
- Risk harm to historic resources
- Interfere with cultural or religious practices
Researchers must treat all address-restricted records and archaeological site information as confidential. This information must not be shared outside the scope of the stated project.
- Public Records Requests
You agree to notify the Ohio History Connection immediately if you receive a public records request that involves information provided by SHPO, so it can be reviewed under Section 304 for risk of disclosure.
- Citation Requirements
All publications, maps, images, and documents that use SHPO data must:
- Credit SHPO as the source
- Include the date the information was provided
- Data Accuracy
SHPO maintains high standards for data quality but makes no warranty as to completeness or precision.
- Section 106 Disclaimer
Receiving SHPO research materials does not constitute formal review or comment under Section 106 of the NHPA. For federally involved projects, the responsible agency must submit a separate request for Section 106 consultation.
- Time-Sensitive Nature of Data
Research data provided are time-limited and may change over time. Users should ensure they are working with the most current information.
- Indemnification
Users agree to indemnify and hold harmless SHPO and the Ohio History Connection from any third-party claims arising from the use of SHPO-provided materials.
- Agreement Scope
By accessing SHPO records—in person, digitally, or through other means—users agree to follow the conditions outlined on this page. These conditions establish expectations for responsible use and may be updated by SHPO at any time. Any changes will be posted on this page.
- Consequences of Non-Compliance
Failure to follow these conditions may result in the loss of research access privileges.
Confirmation of Agreement
By requesting access to SHPO records—whether in person, remotely, or through digital request—you acknowledge that you have read and agree to these Conditions of Use. You may be required to confirm your agreement when initiating your request.
